Privacy policy

1. Who we are

2. What this policy covers

This policy covers our websites (race-control.org, race-control.pl and their subdomains) and the licensing and support services the RaceControl software connects to.

It does not cover the data a sim-racing venue collects from its own customers with RaceControl (driver accounts, contact details, lap times). That data is stored on the venue’s own computer, on its local network. We do not receive it and have no access to it. The venue is its controller; ask the venue about it.

3. Visiting our websites

No cookies, no tracking. Our public pages set no cookies, run no analytics or advertising scripts and load nothing from third parties. Fonts and images are served from our own domain.

Server logs. Our sites are hosted by Cloudflare. When you open a page, Cloudflare processes your IP address, browser user agent, the requested address and the time, to deliver the page and protect the site from abuse. Basis: our legitimate interest in running a secure website (Art. 6(1)(f) GDPR).

Visit statistics. We count visits ourselves, without cookies. For each page view we record the page, time, country, the site you came from and whether the visit looks automated. To count unique visitors we store a one-way hash of your IP address, user agent and the date; it changes every day and cannot be turned back into your IP address. The IP address itself is not stored. Statistics are kept for up to 24 months. Basis: legitimate interest in knowing how the site is used (Art. 6(1)(f) GDPR).

4. Contacting us by e-mail

When you write to us, we process your e-mail address, name and whatever you include in the message, to reply and, where relevant, to prepare a demonstration or an offer. Basis: steps taken at your request before a contract (Art. 6(1)(b)) and our legitimate interest in answering enquiries (Art. 6(1)(f)). We keep correspondence for as long as needed to handle your matter and then for up to 3 years, in case of claims.

5. Licensing and support (venues using RaceControl)

The RaceControl software checks its licence with our licensing service. For this we process: the licence ID, venue name, licensed modules and simulator count, a device identifier generated from the computer’s hardware, the device type and the name the operator gives it, and the time of the first and last check-in.

When an operator sends a support ticket from the software, we receive the subject and message, the venue name, the software version and, if the operator chooses to attach them, diagnostics: the technical status of the Host and simulators and recent error events. The operator can preview the diagnostics before sending.

Purposes: verifying licences, preventing misuse and providing support. Basis: performance of the licence agreement (Art. 6(1)(b)) and our legitimate interest in protecting the software (Art. 6(1)(f)). We keep this data for the duration of the licence and then for up to 3 years, in case of claims. Providing it is required for the software to run under a licence.

Software updates and installers are downloaded from GitHub; GitHub receives the IP address of the downloading computer.

6. Who receives the data

  • Cloudflare, Inc. — website hosting, the licensing and support service, their databases and outgoing e-mail.
  • GitHub, Inc. — distribution of software updates and installers.
  • Google LLC — our e-mail inbox (Gmail).

These providers are based in the United States. Transfers rely on the EU–US Data Privacy Framework and the European Commission’s standard contractual clauses. We do not sell personal data or share it for advertising.

7. Your rights

You have the right to access your data, have it corrected or deleted, restrict its processing, receive it in a portable format, and object to processing based on our legitimate interest. To use any of these rights, e-mail us at the address above. You can also lodge a complaint with the President of the Personal Data Protection Office (PUODO), ul. Stawki 2, 00-193 Warsaw, Poland, or with the data protection authority in your country.

We do not make automated decisions about you and do not profile you.

8. Changes

If the way we process data changes, we will update this page and the date at the top.
